Quantum Portal Tutorial

Complete step-by-step guide to every feature in your Quantum client portal — from dashboard to AI insights.

1 Getting Started — Login & Navigation

The Quantum Portal is your centralised hub for managing projects, tracking orders, communicating with the 69dynamics team, and accessing powerful AI-driven insights — all in one place.

Logging In

Navigate

Go to https://69dynamics.in/portal in your browser.

Action

Enter the email address and password associated with your client account, then click Sign In. You can also sign in with Google if your account is linked.

💡 Pro Tip If you've forgotten your password, click "Forgot Password" on the login screen. A reset link will be sent to your registered email.

Portal Navigation

The portal uses a left sidebar for navigation categorised into logical groups:

  • Overview — Dashboard & Analytics
  • Actions — New Request & Reviews Digital
  • Supply Chain — Orders, Gallery & Products Product
  • Communication — Notes & Documents
  • Project — Tasks & Milestones
  • Finance — Quotations, Invoices, Contracts & Payments

  • Account — Settings, Help & Guides
🔎 Quick Search (Ctrl+K) Press Ctrl+K anywhere to open the global search bar. Type a section name or keyword to jump instantly.

Notification Bell

The bell icon in the top-right corner shows a badge count of unread notifications. Click it to see a dropdown of recent activity. Use "Mark all as read" to clear them.

Two Portal Modes

Depending on your account type, the portal shows different sections:

2 Dashboard

The Dashboard is your portal home screen, providing a snapshot of everything happening across your projects.

Digital Client Dashboard

  • Welcome Banner — Personalised greeting with your name and avatar, plus quick-action buttons.
  • Project Stats — Cards showing Total Projects, Completed, and Milestones at a glance.
  • Bi-Weekly Progress Report — A banner linking to your latest progress digest.
  • Projects List — All your active projects with status indicators.
  • Quick-Action Cards — One-click access to New Request, Book Review, Invoices, Quotations, and Calendar.

Product Client Dashboard

  • Order Stats — Cards showing Total Orders, Pending, Delivered and revenue metrics.
  • Monthly Sales Trend — Interactive chart showing order volume over time.
  • Top Products Chart — Bar chart of your best-performing products.
  • Recent Orders Table — Latest orders with status, amount and date.
Action

Use the Refresh button in the top bar to fetch the latest data. The "Last Updated" indicator shows when data was last synced.

3 Analytics

The Analytics section provides visual charts and timelines so you can track project health at a glance.

Gantt Timeline View

Switch to the Gantt view to see a horizontal timeline of your projects with start dates, durations and milestone markers. This is ideal for understanding delivery timelines.

💡 Pro Tip Charts are interactive — hover over any segment to see exact numbers and percentages.

4 New Request Digital

Submit new project requests directly from the portal. Your request will arrive in the admin panel for review and approval.

Submitting a Request

Navigate

Click "New Request" in the sidebar under Actions.

Action

Fill out the request form:

  • Project Name — A clear name for the project.
  • Project Type — Choose from: Web Design, Web Development, Mobile App, Marketing, Branding, SEO, SaaS, Custom Software, or Other.
  • Budget Range — Select from ₹25K to ₹2.5L+ brackets.
  • Timeline — Urgent, Normal, Relaxed, or Flexible.
  • Description — Detailed brief of what you need.
  • Attachments — Upload reference files (up to 10 MB).

Auto-Suggested Milestones

Based on the project type you select, the system auto-generates suggested milestones. You can accept them as-is or edit before submitting.

Tracking Submitted Requests

All your submitted requests appear in a list below the form with their current status (Pending, Under Review, Approved, Declined).

5 Reviews & Appointments Digital

Book reviews, appointments, or submit feedback on ongoing work.

Action

Select a project, choose a request type (Review, Appointment, Feedback, Change Request, or Support), pick a preferred date, write your message, and submit.

Previous requests are listed below with their statuses so you can track follow-ups.

💡 Review Request Emails You may also receive review request emails from 69dynamics after project completion. Click the link in the email to leave a Google review or submit feedback directly through this portal.

6 Supply Chain Overview Product

The Supply Chain dashboard gives you a comprehensive view of all orders, costs, and product performance.

Key Metrics

Five stat cards are displayed at the top:

Date Range Filter

Use the date range picker at the top to filter all charts and tables to a specific time window.

Charts & Visualisations

The dashboard includes 8 interactive charts:

  • Cost vs MRP — Compare your cost against retail pricing.
  • Order Status (Pie) — Breakdown by Pending, Confirmed, Delivered, etc.
  • Monthly Trend — Order volume and value over months.
  • Top Products — Best-performing products by order count or value.
  • Product Share (Pie) — Which products account for the most revenue.
  • Product Value (Bar) — Side-by-side value comparison.
  • Product Trend (Line) — Individual product performance over time.
  • Category Distribution — Orders grouped by product category.

Product-wise Breakdown Table

A detailed table listing each product with quantity, cost, MRP, margin and status. Useful for quick audits.

Export Options

Action

Click the Export button to download supply chain data as Excel (.xlsx), CSV, or Print the current view directly.

💡 Pro Tip Combine the date range filter with exports to generate monthly or quarterly reports for your accounting team.

7 Order Updates Product

Track every order through its lifecycle with pipeline-style filtering.

Pipeline Filters

Use the filter pills to view orders by stage:

  • All — Every order regardless of status
  • Pending — Awaiting confirmation
  • Confirmed — Order accepted and scheduled
  • Manufacturing — Currently in production
  • Packing — Being prepared for dispatch
  • Dispatched — Shipped and in transit
  • Delivered — Successfully received

Search & Sort

Use the search bar to find orders by name or ID. Sort by date or amount to organise your view.

Action

Click any order card to expand its details — including items, tracking info, and timeline history.

You can also export the orders list as Excel for offline tracking.

9 New Product Submission Product

Request a new product to be added to your catalogue for supply chain orders.

Action

Fill out the new product form:

  • Product Name
  • Category — Cookies, Snacks, Mixtures, Sweets, Beverages, Bakery, Dairy, Ready to Eat, Spices, or Other
  • Cost Price and MRP
  • Unit / Size — e.g., 250g, 1L
  • Shelf Life
  • Description
  • Image Upload

Submitted products appear in a list below, awaiting admin approval before they become active in the supply chain.

10 Notes

Communicate with the 69dynamics team through threaded notes. Each note is timestamped and linked to your account.

Creating a Note

Action

In the compose area, select a note type (Note, Call, Email, Meeting, or WhatsApp), enter a title and optional subject, write your message, and click Send.

Rich Text Support

The editor supports Markdown formatting:

  • **bold** for bold
  • *italic* for italic
  • `code` for inline code
  • [link text](url) for hyperlinks

File Attachments

You can attach files to any note. Click the attachment icon and select your file to upload.

Notes appear in a threaded timeline — newest first — with clear labels for each type.

11 Documents

Access all documents shared with you — contracts, invoices, deliverables, reports, and more.

Filtering Documents

Use the type filter to view specific categories:

  • Contracts
  • Invoices
  • Deliverables
  • Reports
  • Other

A search bar lets you find documents by name or keyword. Documents are displayed as downloadable cards in a grid layout.

12 Tasks

View all tasks assigned to your projects. Tasks are managed by the admin team, and you can track progress here.

Task Stats

Three stat cards show at a glance:

  • Total Tasks — Overall count of tasks across all projects.
  • In Progress — Tasks currently being worked on.
  • Completed — Tasks that are done.

Each task card shows the task name, assigned project, priority level, and current status.

13 Milestones

Track major project milestones — from planning phases to final delivery.

Milestones are grouped by project. Each milestone shows a progress indicator, due date, and status badge.

⚠️ Overdue Milestones If a milestone appears as "Overdue", contact your project manager via Support Tickets or Notes to discuss updated timelines.

14 Quotations

Review, accept, or decline quotations sent by the 69dynamics team for project work.

Quotation Stats

  • Total Quotations — All quotations received.
  • Pending — Awaiting your decision.
  • Accepted — Quotations you've approved.
Action

Click on a quotation to view its details — itemised breakdown, total amount, terms and validity period. Use the Accept or Decline buttons to respond.

📝 Note Accepted quotations may automatically trigger invoice generation and milestone creation through the Quantum Pipeline automation.

15 Invoices

View all invoices, track payment status, and download PDFs for your records.

Status Filter

Filter invoices by All, Paid, Pending, or Overdue.

Click any invoice to expand details. Use the Download PDF button to save a copy for your accounting records.

⚠️ Overdue Invoices Overdue invoices are highlighted in red. Please process payment promptly or contact us via Support Tickets if there's a concern.

16 Contracts

Access all your contracts and agreements — SOWs (Statements of Work), NDAs, and service agreements.

Contract Stats

  • Total — All contracts associated with your account.
  • Active — Currently in effect.
  • Pending Signature — Contracts awaiting your review and signature.
  • Expired — Past contracts for reference.
Important

Contracts marked as "Pending Signature" require your action. Review the terms and use the signing flow to digitally approve them.

17 Payments & Billing

View your complete payment history — amounts paid, pending, and overdue balances.

Payment Stats

Payment History Table

The table lists every transaction with columns for:

  • Date — When the payment was made or recorded.
  • Description — What the payment is for.
  • Invoice — Linked invoice reference.
  • Amount — Payment amount in ₹.
  • Status — Paid, Pending, or Overdue.
  • Receipt — Download link for payment receipts.

18 Support Tickets

Raise support tickets for issues, questions, or requests. Tickets are tracked through a pipeline workflow.

Creating a Ticket

Action

Click the "New Ticket" button to open the ticket creation modal. Fill in a subject, category, priority, and detailed description, then submit.

Ticket Pipeline

Filter tickets by status using the pipeline pills:

  • All — Every ticket.
  • Open — Newly created, awaiting assignment.
  • In Progress — Being actively worked on by the team.
  • Resolved — Solution provided, pending confirmation.
  • Closed — Resolved and archived.
💡 Pro Tip Include screenshots or detailed steps in your ticket description for faster resolution.

19 Announcements

Read important announcements from the 69dynamics team — system updates, feature releases, maintenance windows, and more.

New announcements show a notification dot in the sidebar until read. Announcements are ordered chronologically with the newest first.

20 Feedback & Ratings

Share your experience and rate the services you've received. Your feedback helps us continuously improve.

Submitting Feedback

Action

Select a rating (1 to 5 stars), choose a category (General, Service, Communication, Delivery, Support, or Value), write your feedback, and submit.

Feedback History

All your previously submitted feedback is listed below the form, showing the rating, category, and your comment.

21 Calendar

Stay on top of scheduled events — calls, demos, deadlines, and appointments.

Calendar Stats

  • Upcoming — Total future events.
  • Calls — Scheduled phone/video calls.
  • Demos — Product or feature demos.
  • Deadlines — Project and milestone deadline reminders.

Mini Month Calendar

An interactive month calendar with previous/next navigation and a "Today" button. Days with events are highlighted. Click a day to see events for that date.

Upcoming Events List

Events are listed chronologically below the calendar with date, time, type, and description.

22 Team Members

Manage who from your organisation has access to the portal.

Team Stats

  • Total — All team members on your account.
  • Active — Currently active members.
  • Invited — Members with pending invitations.

Adding a Team Member

Action

Click "Add Member" to open the member form. Fill in their name, email, role (Viewer, Editor, or Manager), and optional phone number, then submit.

Role Definitions

RolePermissions
ViewerRead-only access to all sections. Cannot submit forms or create items.
EditorCan submit requests, notes, feedback and manage tasks. Cannot change settings or billing.
ManagerFull access including settings, billing information, team management and all actions.

23 Brand Vault

Your centralised repository for all brand assets — logos, guidelines, templates, and creative materials.

Asset Stats

  • Total Assets — All items in the vault.
  • Logos — Logo files and variants.
  • Guidelines — Brand guideline documents.
  • Templates — Reusable design templates.

Category Filter

Filter assets by type:

  • Logos
  • Guidelines
  • Templates
  • Color Palettes

Assets are displayed on visual cards with preview images. Click to download or view full-resolution versions.

24 Service Roadmap

See the planned phases of all services engaged with 69dynamics — from initial onboarding to ongoing support.

26 Collaboration Board

A shared workspace for exchanging ideas, requesting approvals, submitting revisions, and tracking creative discussions.

  • In Review — Items being evaluated.
  • Approved — Accepted items ready for execution.

Creating a New Item

Action

Click "New Item" and fill in the title, type, priority (Low, Medium, High, Urgent), description, and optional attachment URL. Submit to add it to the board.

Leverage Gemini AI to get intelligent analysis of your project health, progress trends, and growth opportunities.

AI Summary Banner

At the top, an AI-generated summary provides a snapshot of your current status — powered by Google Gemini AI.

AI Score Pills

Four key health indicators displayed as pill badges:

🤖 About AI Insights AI Insights are generated using Google Gemini AI by analysing your project data, milestones, tasks, and activity patterns. Data is processed securely and never shared with third parties.

28 Activity Log

A chronological feed of all activity across your portal — every action, update, and system event in one place.

The activity log displays entries with:

  • Timestamp — When the event occurred.
  • Action Type — What happened (e.g., "Invoice Created", "Note Added", "Milestone Completed").
  • Details — Context about the specific item involved.
  • Actor — Who performed the action (you, a team member, or the system).
💡 Pro Tip Check the Activity Log regularly for a full audit trail of everything happening on your account — especially useful for managers overseeing team activity.

29 Report Builder

Generate downloadable reports from pre-built templates — export your data in Excel or PDF format.

Click a report template card, configure any options (date range, etc.), and click Generate. The report will appear in the output area below, ready for download.

30 Settings

Manage your account preferences, security, notifications, and data. The Settings section has 6 tabs:

Profile Tab

Update your personal and company information:

  • Full Name, Email (read-only), Phone
  • Designation, Company Name, Website
  • Industry, Address
  • GST Number, PAN Number
  • Bio — Short description of your business
  • Change Password — With strength indicator (Weak/Fair/Strong/Very Strong)

Preferences Tab

Customise how the portal behaves:

  • Date Format — DD/MM/YYYY, MM/DD/YYYY, or YYYY-MM-DD
  • Timezone — IST, UTC, EST, PST, GMT, etc.
  • Language — English (more languages coming soon)
  • Currency — INR (₹), USD ($), etc.
  • Dashboard Card Toggles — Show/hide individual cards on the dashboard

Notifications Tab

Control what notifications you receive:

  • Push Notifications — 8 toggles for different event types (new invoices, milestones, notes, tickets, etc.)
  • Email Notifications — 4 toggles for email alerts
  • Sound Alerts — Play a sound for new notifications
  • Desktop Alerts — Browser push notifications

Billing Tab

Manage your billing information:

  • Company Name, Address
  • GST, PAN
  • Contact Person, Contact Email
  • Bank Details (for refunds) — Bank Name, IFSC Code, Account Number, UPI ID

Security Tab

Review your account security status:

  • Authentication Info — Last login, sign-in method
  • Active Sessions — Devices currently signed in
  • Connected Apps — Google account linking status

Data Tab

Export or manage your data:

  • Export by Category — Download specific data sets as JSON (projects, invoices, notes, etc.)
  • Activity Overview — Summary statistics of your account activity
  • Export All — Download a complete archive of all your portal data
  • Data Deletion Request — Request permanent deletion of your data
⚠️ Data Deletion Data deletion is permanent and cannot be undone. Ensure you've exported all important data before submitting a deletion request.

32 Deliverable Approvals

Review deliverables submitted by the 69dynamics team, approve them, request revisions, or reject with feedback.

Reviewing a Deliverable

Navigate

Go to Project → Deliverable Approvals in the sidebar. All pending deliverables appear at the top.

Action

Each deliverable card shows the title, description, attached files, and submission date. Click files to preview/download them.

Action

For pending deliverables, you can: Approve (green), Request Revision (yellow), or Reject (red). Optionally add a comment before responding.

Filter by Status

Use the filter pills (All, Pending, Approved, Rejected, Revision) to view deliverables by status.

Approval History

Each deliverable card also shows a chronological history of all actions taken — who approved/rejected, when, and any comments left.

✅ Tip Review deliverables promptly to keep your project on schedule. The team is notified immediately when you respond.

33 Document Signing

View and sign contracts, NDAs, and agreements shared by the 69dynamics team directly in the portal.

How It Works

Navigate

Go to Documents → Document Signing in the sidebar.

Step 1

Documents pending your signature are listed with status badges. Click a document to view its full content.

Step 2

Review the document carefully, then click Sign Document to confirm. Your signature, name, and timestamp are recorded.

⚠️ Important Once signed, the action cannot be undone. Make sure to read the full document before signing.

34 Data Export

Export your portal data (invoices, payments, milestones) in CSV or Excel format for your own records.

Exporting Data

Navigate

Go to Intelligence → Data Export in the sidebar.

Action

Select the data type you want to export (Invoices, Payments, etc.), choose a format (CSV or XLSX), and click Export. The file will download to your device.

ℹ️ Data Privacy Exported data contains only your own records. Admin data is never included.

35 Online Payments (Razorpay)

Pay invoices directly from the portal using Razorpay — supports UPI, cards, net banking, and wallets.

How to Pay Online

Navigate

Go to Finance → Invoices in the sidebar. Unpaid invoices with online payment enabled show a Pay Online button.

Step 1

Click Pay Online on an unpaid invoice. The Razorpay checkout popup opens with the invoice amount pre-filled.

Step 2

Choose your payment method (UPI, Credit/Debit Card, Net Banking, Wallets) and complete the payment.

Step 3

On successful payment, the invoice status automatically updates to Paid and a payment receipt is recorded in your Payments section.

⚠️ Payment Not Going Through? If the payment fails or is cancelled, no charges are made. Check your bank balance and try again or contact support.
✅ Receipt After payment, you'll find the Razorpay Payment ID in your Payments section. Save it for your records.

The Quantum Portal uses a tiered access system. Your portal experience depends on whether you are on the Basic (free) or Premium tier.

Basic Tier (Free)

All clients start on the Basic tier with access to core collaboration and project management features:

Upgrade to Premium to unlock the full power of the portal:

Locked Sections

If you are on the Basic tier and navigate to a Premium section, you will see a lock overlay explaining why it is locked and how to request access.

Upgrade Path

Click the Request Premium Access button on any locked section. Your admin will review and approve the upgrade. You can also start a 21-day free trial to explore all Premium features before committing.

Tip: Your admin can upgrade your account at any time from the Admin Panel → Premium Access.

38 Referral Rewards

Earn rewards by referring other businesses to 69dynamics. The Referral Rewards dashboard lets you track your referrals, their status, and your earned credits.

How It Works

  1. Navigate to Referral Rewards in the sidebar
  2. Share your unique referral link or submit a referral manually
  3. When your referral signs up and becomes an active client, you earn reward credits
  4. Track all referral statuses: Pending, Contacted, Converted, Rewarded
Tip: Referral Rewards is a Basic-tier feature — available to all clients at no extra cost.

39 Enhancements

The Enhancements section lets you view planned platform improvements, suggest new features, and vote on what matters most to you.
